We have an exciting opportunity for a Behavioural Trainer or behaviour-savvy Veterinary Nurse with administrative experience to join the Admin team of our dedicated behaviour-only practice.

In this frontline role, you’ll be the calm, knowledgeable and supportive presence for long-term clients you have built a relationship with, and new pet parents calling for their first time in distress about their furry family member.

The position is ideal for someone who enjoys a customer-focused environment and stays calm, kind and solutions-focused when things get busy. The role includes a mix of customer support, problem solving and administration, and requires someone who can confidently manage competing priorities while bringing warmth and professionalism to the clients and team around you. Working closely with our Behaviour Vets, you’ll play a key role in supporting them to focus on their clinical work by managing their calendar and providing fast and efficient responses to new and current client communications.

What we do

Pet Behaviour Vet is a behaviour-only practice based in Monterey, Sydney, performing house call, phone and online behaviour consultations all over Sydney and surrounds. We also perform Vet-to-Vet teleconsultations and provide continuing education seminars, assisting GP vets in being able to perform their own behaviour consultations.

Our behaviour veterinarians practice high quality, evidence-based behavioural medicine for dogs and cats suffering from a range of complex behavioural conditions. All veterinary consultations are performed in clients’ homes, with teleconsult support between appointments. We perform all our administrative duties at our private office in Monterey, south-eastern Sydney, where you will be based every day. This is also a base where our vets can perform their office duties and where our stock is kept.

Our practice is very well known and trusted in our community of referring vets, behaviourists and dog trainers. We are growing quickly, and our 2-strong administrative team is struggling to keep up with our lengthening client list!

All About You

We won’t lie, we’re looking for someone special to join our team. Could it be you?

We need you to have:

  • Exceptional customer service skills, particularly via phone with the ability to skillfully and kindly triage calls as they come through. You must have the ability to empathise and authentically provide reassurance to clients who may be frustrated or struggling to deal with their pet’s behavioural problems
  • Superb written and interpersonal communication skills, as you will be the main point of contact for our clients and referral partners.
  • Excellent organisational skills- our scheduling calendar is a bit of a monster!
  • Proficiency in data entry with exquisite attention to detail
  • An in-depth understanding of science-based, force-free training
  • A high regard for honesty, integrity, and respect in the workplace.
  • A desire to work in a dynamic team, going above and beyond to support and assist your workmates with their problems
  • A strong work ethic, with the ability to work independently and unsupervised
  • Proficiency in office software including Microsoft Teams
  • An ability to explain and market our behavioural products and services to clients

In addition, the following skills will be highly regarded:

  • Previous experience in reception, clerical or customer service duties
  • Experience working as a dog trainer, veterinary nurse or in the veterinary industry
  • Familiarity with behavioural training terminology and recent experience in the industry
  • Familiarity with veterinary terminology and veterinary practice management software, particularly OpenVPMS
  • Qualifications in business administration, veterinary nursing, companion animal services, animal behaviour, or similar courses
  • Membership of a reputable society such as PPG-A or the DELTA Institute

What a typical day will look like

Your daily duties will include:

  • Being the first point of contact for clients making enquiries, talking them through the consultation process and booking them in (this will take up most of your time)
  • Liaising with referring veterinary practices and trainers
  • Managing correspondence such as patient histories and referral reports
  • Preparing estimates, invoicing, managing client accounts and processing payments
  • Accurately dispensing and posting medications as per vet instructions
  • Creating and maintaining a smooth workflow for each vet by scheduling their calendar, sending reminders and confirming appointments.
  • Making follow-up phone calls and emails, and giving general behavioural advice to current clients over the phone and email
  • Unpacking orders and general stock control
  • Maintaining the presentation and cleanliness of the office space, and
  • Performing general clerical duties, including filing and data entry.

Potential additional duties, depending on your skill level and interests may include:

  • Performing dog training consultations
  • Carrying out higher stock control duties such as ordering
  • Accounting and reconciliation
  • Managing social media accounts, marketing and developing online content, and/or
  • Designing, writing and/or editing documents such as practice protocols, information packs, handouts and clinical reports.
